Invite a teammate and manage logins

Where to start: Settings → Users. Admin-only.

Users are not the same as participants

A user is someone who can sign into Lokom. A participant is someone Lokom calculates commission for. Most participants never sign in, and plenty of users (finance, RevOps) earn no commission. Participants live under Organization → Participants (Manage your team).

Adding a user never changes your bill. Billing counts reps on a live plan, not logins.

The two permission levels

A member signing in lands on My Payouts. They never see other people's numbers, your plans, or anything about billing.

Invite someone

  1. Go to Settings → Users.
  2. Click + Invite user.
  3. Enter their email address.
  4. Under Permission role, choose Admin or Member. Member is preselected — so granting admin is always a deliberate click, never a default you slid past.
  5. Click Send invite.

The modal tells them what to expect: "They'll get an email with a one-click link to join your workspace."

Expected result: a row appears marked Pending invite, and they get an email with the subject "You've been invited to <your workspace> on Lokom".

Invites expire after 7 days. From the pending row you can Resend invite or Cancel invitation.

Invite reps who aren't in Lokom yet

If Pipedrive is connected, Settings → Users shows a section of participants who earn commission but have no login. Invite them straight from there — the email is pre-filled.

Most reps don't need this. They see their commission inside the Pipedrive deal without ever logging in. → What reps see

For a member to see their own payouts, their login must be linked to their participant record. Lokom links by email automatically where it can.

When it can't, the row shows a review chip:

Use the search box in the row to pick the correct participant.

If a member says "Nothing linked yet" on their payouts page, this is the cause.

Change someone's role

Open the row's menu and choose Assign admin role or Remove admin role.

Watch for: you cannot remove the last admin. The row is tagged Last admin with the hint "Promote another admin first to remove this one." You also cannot demote yourself.

Archive someone who left

  1. Find their row.
  2. Open the row menu → Archive user.
  3. Confirm.

Expected result: they can no longer sign in. Switch the filter from Active to Archived to see them, and use Reactivate user if they come back.

Archiving a user is not archiving a participant

Archiving a login stops them signing in. It does not remove them from commission calculation or from your bill — for that, archive the participant under Organization → Participants. → Billable reps
